Roles & Capabilities

How access works in a REMO workspace, and what each member can do.

The two-axis model

REMO describes every workspace member with two independent attributes:

  1. Tier — the member's permission level. Every member has exactly one tier.
  2. Capabilities — additive operational roles (Photographer and/or Editor). A member can have zero, one, or both.

This means a single person can be, for example, a Manager who is also a Photographer and an Editor — they get the management dashboard and the photographer schedule and the editing queue. Tier and capabilities are set separately, so you no longer have to choose between "manager" and "photographer" for someone who does both.

Upgrading from the old role model

Earlier versions of REMO used six mutually-exclusive roles (Owner, Admin, Manager, Photographer, Editor, Client). Those have been replaced by the tier + capability model:

  • Photographer → Staff tier + Photographer capability
  • Editor → Staff tier + Editor capability
  • Client → Guest tier

Existing members were migrated automatically — you don't need to do anything.

Tiers

TierTypical userWhat they can do
OwnerBusiness ownerEverything an Admin can do, plus transfer or delete the workspace and promote members to Admin. One owner per workspace; cannot be removed.
AdminCo-owner / office managerManage all workspace settings, services, packages, billing, and integrations; view all jobs and financials; invite/remove members and change tiers (except Owner).
ManagerOperations managerRun the operations dashboard, assign photographers and editors, create manual bookings, view the full schedule and financials. Can invite Staff and Guest members only. Cannot change workspace settings or manage Admins/Managers.
StaffInternal team memberView the team schedule (read-only) and their own assigned jobs; manage their own profile. If granted a Photographer or Editor capability, they also get that dedicated dashboard.
GuestReal estate agent / property ownerBook services, view and communicate about their own jobs, and download delivered media. Guests cannot hold capabilities.

Capabilities

Capabilities are additive and can be granted to any internal tier (Owner, Admin, Manager, Staff). Guests cannot hold capabilities.

CapabilityWhat it unlocks
PhotographerThe Photographer dashboard: today's shoots, the weekly planner, the job workspace for uploading raw media, availability settings, and ratings. The member becomes eligible to be assigned to shoots.
EditorThe Editor dashboard: the editing queue (jobs awaiting and in editing), per-job editing workspace, deliverable uploads, and workload/turnaround tracking. The member becomes eligible for editor auto-assignment.

A member can hold both capabilities at once (for example, a Staff member who both shoots and edits). Owners and Admins who set up a Photographer or Editor profile gain an extra dashboard tab, but their default view stays the Admin dashboard.

tip

Capabilities only control which operational dashboards and assignment pools a member belongs to. They never grant management permissions — those come from the tier.

Permissions below are determined by tier. Media actions that depend on a capability are listed separately in Capability-based actions.

Capability-based actions

These actions are unlocked by a capability, not a tier. Any internal member who holds the capability can perform them.

ActionRequires
Be assigned to a shootPhotographer capability
Upload raw media for a jobPhotographer capability (or a Guest uploading to their own editing-only order)
Be assigned editing workEditor capability
Upload edited deliverablesEditor capability

Platform roles (separate from your workspace)

Platform roles belong to the people who operate the REMO platform itself — they are completely separate from your workspace tiers and are not something a workspace admin manages.

Platform rolePurpose
Super AdminFull platform control across all workspaces
SupportCross-workspace support operations
BillingPlatform revenue and subscription management

A platform operator may or may not also be a member of your workspace; the two are independent.

Assigning tiers and capabilities

Tier and capability changes are made from the team page. See Team Management for step-by-step instructions on inviting members, changing tiers, and granting Photographer/Editor capabilities.

Best practices

  1. Keep Admin limited to people you trust with settings, billing, and team changes.
  2. Use Manager for operations staff who schedule and assign work but shouldn't change settings.
  3. Use Staff + a capability for photographers and editors on your team.
  4. Use Guest for clients — they only ever see their own jobs.
  5. Review your team periodically and remove access for anyone who has left.
