Scheduling

The Schedule gives your operations team an at-a-glance view of who is shooting what, and when. It lays every scheduled shoot out by photographer so you can spot open capacity, fill gaps, and book around your team — without leaving the page.

Who sees the Schedule

What you see depends on your role:

RoleWhat the Schedule shows
Manager / AdminThe whole workspace — every scheduled shoot, laned by photographer, plus an Unassigned lane. Managers and admins can also act on open slots (see below).
PhotographerThe whole workspace week, with your jobs visually emphasized and marked "You" so you can coordinate hand-offs and book around teammates. Read-only.
StaffThe workspace-wide Team Schedule, read-only.

Editors and clients don't have a Schedule view.

Photographers see the whole team

A photographer's Schedule is workspace-wide, not just their own jobs — but it carries no pricing, payment, or contact details. It's an operational "who's where, when" view.

Views

The Schedule offers four views, switchable from the view toggle. Use the prev / Today / next controls and the date label to move through time.

Day

The Day view shows one column per photographer (drawn from your roster — including photographers with no jobs that day), plus a leftmost Unassigned lane for shoots that have no photographer yet. Jobs are positioned by their start time, and a live "now" line marks the current time.

This is the view to scan first thing in the morning: each person's column tells you their day at a glance, and the Unassigned lane flags shoots that still need someone.

Week

The Week view overlays your scheduled jobs on a weekly grid, color-coded by photographer with a name label and a color legend, so you can read the whole week's coverage at once.

List

The List view groups jobs by day, each row showing the time, address, client, and services along with the assigned photographer's color dot and name. It's the compact, scannable alternative to the calendar grids.

Month

The Month view lays the whole month out as a calendar grid. Each day cell shows up to three job chips — shoot time, client or address, and the photographer's color dot — and a "+ more" affordance when a day has additional shoots. Click a day (or its "+ more") to drill straight into that date's Day view.

The hour range fits your shoots

The Day and Week grids start from a normal 7 AM–7 PM window, but they auto-expand to include any early or late shoot — counting its full duration — so nothing is ever clipped out of view. A 6 AM or 8 PM booking still renders in full. Typical and empty days keep the familiar baseline range.

Availability layer

In the Day view, each photographer's lane is painted with their working hours behind the grid. Hours outside that person's working window are visually dimmed, so working hours read as open capacity and off-hours stand out. Booked shoots always render on top of this layer, so they remain clearly visible.

Working hours come from each photographer's profile. The default profile — Monday to Friday, 8 AM to 6 PM, weekends off — means a brand-new workspace sees meaningful shading right away: weekdays open, weekends greyed.

The Unassigned lane is a bucket rather than a person, so it gets no availability shading.

Editing working hours

A photographer's working hours are set on their profile (in their profile and availability settings), not from the Schedule itself. The Schedule reflects whatever is configured there.

Acting on open slots

Managers and admins can act directly on open time in the Day view. Click an empty cell in a photographer's lane and a small menu offers two actions, pre-seeded with that lane's photographer, the viewed day, and the clicked hour:

  • Book new shoot here — opens the manual booking wizard with the date pre-set and the photographer pre-selected. You confirm the rest of the booking as usual. The exact time is best-effort: it's pre-filled when it's still a valid slot for the property and service, otherwise you re-pick it at the schedule step.
  • Assign existing job here — opens a picker listing jobs that are waiting to be fully booked (a shoot that's still missing a photographer or a scheduled time). Choosing one drops it onto that photographer at that time and moves it to shoot scheduled.

A few details worth knowing:

  • Cells that already hold a job aren't open-slot targets — clicking one opens that job's detail instead.
  • The Unassigned lane has no photographer to seed, so it isn't clickable for creating bookings.
  • Off-hours (dimmed) cells are still clickable — booking outside normal hours is a valid manager override. The dimming is a signal, not a hard block.
  • If a job gets fully booked between the time the picker loaded and the time you choose it, the assignment is rejected with a clear message.

Time off

Recurring working hours don't cover one-off absences — a vacation, a sick day, or "out Monday to Wednesday." For those, add a time-off exception.

Time off is entered as an all-day date range with an optional reason, and it does two things:

  1. Blocks bookings — a photographer on time off drops out of the eligible photographer and available-slot lists for those days, in both manual and public booking.
  2. Shades the Day view — those days show a distinct, labeled "Time off" band in that photographer's lane, visually different from the everyday off-hours dimming.

Who can add time off:

  • Photographers can manage their own time off from their profile's availability settings.
  • Managers and admins can manage any team member's time off from that member's profile in team administration.

Removing a time-off block restores availability for those days.

Time off shows on the Schedule, but is set on the profile

The Schedule displays time-off shading, but you add or remove blocks from the member's availability settings — not from the Schedule grid itself.

Editor coverage

A coverage widget surfaces whether you have an editor on shift now, and when the next shift begins. It's the quick answer to "is anyone available to pick up editing right now?"

Coverage times are timezone-aware — they're evaluated against each editor's own working hours and timezone, so the "now" and "next shift" readouts reflect real local availability rather than a single fixed clock.

  • Slack Integration — get job activity, including new bookings and assignments, posted to your team's Slack channels.
  • REMO Slack Agent — ask REMO about today's schedule and unassigned jobs from inside Slack.
